How can AI agents help Sage X3 teams with accounts receivable?

Sage X3 already handles payment entry, matching and reminders; AI agents like Vero, Transformance's AI agent, add the work around it: reading remittances, working the bank lines X3 grades B or C, chasing overdue invoices. A person approves every posting back to Sage X3.
Three colored streams converging into a sphere, visualizing how AI agents augment Sage X3's accounts receivable

Key Takeaways

  • Transformance’s AI agents, like Vero, build on what Sage X3 already does: X3 posts customer payments against open items, matches them with letter codes, grades imported bank transactions A, B or C and runs reminder campaigns of up to five levels, as Sage’s online help documents.
  • Transformance connects to Sage X3 through its integrations hub; AI agents take on remittances, the B and C bank lines, short pays and AR collections, and X3 stays the system of record.
  • DocSense reads remittances with over 97% extraction accuracy across 100+ document types and 170+ languages, and ClearMatch auto-matches 95% of payments (Transformance platform and customer data, 2026).
  • Nothing posts to Sage X3 without human sign-off; thresholds are set by amount, entity and customer, and the audit trail records who approved.
  • Full rollout takes up to 4-8 weeks, a proof of value runs 4-5 weeks on one entity, and your IT team may be involved.

Sage X3 terms follow Sage X3 Online Help (version 12); labels can differ by version and legislation.

Sage positions Sage X3 as ERP for manufacturing and distribution, “designed for businesses that make, move, and sell products”, offered as managed SaaS, with private cloud and on-premises deployments also supported (Sage, 2026). Transformance connects to and works with Sage X3 through its integrations hub (ERP integrations overview).

Takeaway: X3 keeps the books and the AR rules; agents prepare the work around them, and a person signs off.

What does Sage X3 already do for accounts receivable?

Sage X3 posts payments against open items, matches them with letter codes, grades imported bank transactions A, B or C and runs reminder campaigns by level, as Sage’s help describes.

Payment/receipt entry. It posts invoice payments from the Purchasing, Sales or A/P-A/R accounting modules, or automatically through payment proposals. Payments are entered one at a time; each can carry several payment attributes (discounts, charges, payment differences) and be allocated to several open items, and an entry batch groups several payments. Matching between payment and invoice happens at posting. Accounting cancellation reverses a payment’s entries, and “the payment moves back to the Entered status” (Sage X3 Online Help, Payment/Receipt Entry, page dated September 2026).

Matching. Transactions on customer and supplier accounts in A/P-A/R accounting “are the object of an automatic matching”: payments post directly to the invoices they are linked to. Matched entries carry an uppercase letter code, partially matched entries a lowercase one. Matching is carried out per account, customer and site (Sage X3 Online Help, Manual Matching).

Bank transactions. Imported statements are matched automatically, and each transaction gets a match level: A (exact match), B (some information, no exact match) or C (nothing found), with “M” appended for manual changes (Sage X3 Online Help, Process bank transactions).

Reminders. A reminder campaign selects open items by company, site, reminder group and level, lets a user review each customer and adjust due dates, levels and dispute codes, and on validation “updates open items and generates letters or emails and CRM tasks” (Sage X3 Online Help, Reminder campaigns). Reminder groups set 1 to 5 levels, the reminder type (by invoice, global, global by level, global by date) and the frequency; each validated campaign raises an open item’s level by one (Sage X3 Online Help, Reminder groups).

In Sage’s help these functions appear as GESPAY, LETTRAGE, GESBSIMTC, GESFUP and GESFGP.

Takeaway: payment entry, letter-code matching, graded bank matching and reminder campaigns are X3’s own AR toolkit; agents build on it.

Where do AR teams on Sage X3 spend manual time?

On any ERP, manual hours go to remittances outside the ERP, payments covering many invoices, short pays, unclear bank lines and the follow-up behind every reminder.

Manufacturers and distributors know each of these:

  • Remittances outside the ERP. The note that says which invoices a payment covers arrives in an email body, a PDF or a portal download (where remittances come from).
  • One payment, many invoices. ACH carried 41% of US B2B payments by count in 2024, up from 25% in 2015, while checks fell from 32% to 13% (Federal Reserve Bank of Cleveland, 2026, US). X3 lets a user distribute a bank transaction across several open items (Sage X3 Online Help, Process bank transactions); which invoices a transfer covers is in the remittance PDF, and someone reads it.
  • Short pays and deductions. Pallet and freight deductions, rebates and volume discounts need a reason before the difference is settled or disputed (partial payments and deductions; cash application in wholesale distribution).
  • Behind the letter. The campaign generates the reminders; the work is deciding whom to call first and logging promises to pay.

The cost shows in unapplied cash. A Hackett Group research director noted that “a surprising number of organizations” are “taking up to three days to post payments, and carrying up to 6% of unapplied cash” (The Hackett Group, 2025; no 2026 figure found). More on clearing an unapplied cash backlog.

Takeaway: the manual hours sit in the documents and the follow-up around X3’s functions.

What do AI agents take on for Sage X3 teams?

Agents take on remittance reading, matching, deductions, AR collections and cash forecasting on the data X3 already holds, working from a Customer 360 view of each customer.

  • Remittances. DocSense reads remittance advice in any format with vision language models: over 97% extraction accuracy across 100+ document types and 170+ languages, no templates (how AI reads remittance advice).
  • Cash application. ClearMatch auto-matches 95% of payments, runs end to end in under 8 minutes and validates 100% of postings (Transformance customer data, 2026; ClearMatch).
  • Exceptions. Vero investigates an unmatched payment from Customer 360, its working memory per customer, and fetches internal and external information to find more matches. It proposes the match with the evidence; a person approves (matching a payment with no reference).
  • Deductions. ClaimIQ identifies deductions with 97% accuracy in under 15 seconds each (manual: 45 minutes) and sorts them into six categories (ClaimIQ).
  • AR collections. CollectPulse actions 100% of overdue invoices within 24 hours (manual teams: 30-40%), Vero handles 60-80% of routine touches, and DSO comes down 8-12 days on average. The AI calling agent makes 15-20 calls an hour in 70+ languages and identifies itself as AI at the start of every call (CollectPulse; how AI automates AR collections).
  • Cash forecasting. CashPulse reaches 90-95% forecast accuracy out to 90 days.

Takeaway: agents do the reading, matching, chasing and sorting; people keep the decisions.

How do Sage X3’s bank match levels work with AI agents?

Sage X3 grades each imported bank transaction A, B or C; teams let X3 handle the A matches and add agents for the B and C lines.

Sage X3 bank match levels: what X3 documents, what agents add

Match level (X3)What X3 documentsWhat agents addPerson
A: exact matchValidation generates the payment (open items) or creates the match (existing payments)Compare the match with the remittance, where one arrivedValidates the statement
B: some information, no exact matchPossible matches are shown, not selectedRead the remittance, justify the match, flag short paysApproves the proposal
C: no information foundProcessed manually, or posted to the suspense account at validationInvestigate the payer; propose a match or on-account treatmentApproves or hands on
M suffixRecords that a person changed the matchKeep the evidence with the change in the audit trailOwner of the change

Source for the X3 columns: Sage X3 Online Help, Process bank transactions (version 12, Standard flow type).

X3 offers two paths for a B or C line: a user processes it before the statement is validated, or, in Sage’s words, “payments are posted to the suspense account unless you have selected Suppress intermediate posting” in the bank import settings. Once validated, a transaction can no longer be modified, so the review of B and C lines belongs before the statement is validated in X3.

X3 also decides the outcome by amount: paid plus discount equal to the open item clears it, less leaves a partial payment, more is entered as an overpayment. If the bank account is linked to a dedicated site, only that site’s invoices are considered.

For a B or C line, Vero proposes the match with its evidence, the person approves, and the approved posting is written to Sage X3 (how external systems clear open items). More on bank file formats and rule-based vs AI cash application.

‍

Takeaway: X3 sorts the bank lines by certainty; agents work the uncertain ones before anything posts, and a person decides.

How does data flow between Sage X3 and Transformance?

Transformance connects to Sage X3 through its integrations hub, reads customer, open-item, bank and remittance data, and writes approved postings back.

What moves. Transformance reads customer master data, open items, invoices, journal entries, bank statements and remittances, and writes clearing postings, journal entries and ERP updates, including reversals, after approval (what AR automation reads and writes).

Which route. The integrations hub connects by API, files, database, mailbox or Transformance’s on-premise agent, which connects outbound only. Sage says X3 extends “with modern APIs and integration services” (Sage, 2026); the route Transformance uses follows your X3 environment (hosting, version, site structure), is agreed in the connection step, and your IT team may be involved (AR automation on an on-premise ERP; connecting a custom ERP).

How the connection is built. The onboarding hub and integrations hub run a standardized process: discover, map, build, test, schedule and monitor. AI agents carry out those steps, from mapping your X3 data to testing the connection and watching each scheduled run, and a person approves every change that reaches your X3 system or production (the agent-run integration platform).

Who controls postings. A 4-level approval model (read, recommend, execute, post) keeps a human in the loop for every ERP posting. Administrators configure the rules, finance approves, and the audit log records who approved what, with the input and the confidence (approval thresholds).

Where data lives. Data stays in your region, VPC deployment in your own cloud is available, sign-in runs through SSO/SAML with role-based access control, and no customer data is used to train models (how AI agents access ERP data safely).

Takeaway: Sage X3 stays the system of record; Transformance writes back only what a person approved.

How does onboarding work for a Sage X3 team?

Onboarding runs as one shared project: the X3 connection is built and tested on your own transactions, then a parallel run and sign-offs, within up to 4-8 weeks.

The onboarding hub holds the plan, open tasks and sign-offs for both teams, and hypercare follows go-live. A proof of value runs 4-5 weeks on one entity.

What your team brings:

  1. A contact who knows your X3 setup: version, hosting, companies and sites.
  2. IT for the route (what IT does in a rollout).
  3. Bank statements, or access to them, for each account in scope.
  4. The mailboxes and portals where remittances arrive.
  5. Your reminder groups and campaign routine, so agents work alongside them.
  6. The approval thresholds finance wants.

Data access, the security review and the approval rules shape the timeline more than the connection (how long AR automation implementation takes).

Takeaway: one entity first, your own transactions in the test, and a person’s approval on every change.

Which companies run Sage X3, and what does a worked example look like?

Sage positions X3 for manufacturers and distributors, including chemicals and food and beverages (Sage, 2026); a typical AR case is one payment covering several invoices with a deduction.

Illustrative example: a food distributor on Sage X3. Names and amounts are fictional.

One imported bank line reads $41,730.00, text “INV PYMT”. The customer’s remittance PDF lists three invoices of $18,400.00, $16,250.00 and $8,400.00 ($43,050.00) and a $1,320.00 deduction against the third for a short pallet.

‍

‍

  1. The grade. X3 finds possible matches but no exact one, so it grades the line B.
  2. The remittance. DocSense reads the PDF and pairs it with the bank line.
  3. The proposal. ClearMatch proposes the first two invoices in full ($34,650.00) and $7,080.00 against the third, and flags the $1,320.00 difference.
  4. The deduction. ClaimIQ classifies the short-pallet deduction, with the remittance line as evidence.
  5. The approval. The AR lead approves the proposal before anything posts.
  6. The result. The first two invoices are matched; the third keeps $1,320.00 open as a partial payment until a person settles or disputes the deduction.

The arithmetic: $18,400.00 + $16,250.00 + $7,080.00 = $41,730.00, and $8,400.00 less $7,080.00 leaves $1,320.00.

In the next reminder campaign, the two paid invoices are no longer open, so the customer is not reminded about them.

Takeaway: X3 grades the line, the agent brings the evidence, a person decides, and the reminders follow the result.
