How can AI agents help Oracle E-Business Suite teams with AR?

Transformance's AI agents take on the work around Oracle E-Business Suite's lockbox import and receipt rules: reading remittances in any format, proposing matches for unapplied receipts and preparing AR collections work. A person approves each posting.

Key Takeaways

  • Transformance’s AI agents work around AutoLockbox, which Oracle documents as a three-step process (import, validation, Post QuickCash); a receipt no matching or AutoCash rule applies gets the status Unapplied (Oracle, Receivables User Guide, Release 12.2).
  • Each agent has one job: DocSense reads, ClearMatch proposes matches, Vero investigates, CollectPulse prepares AR collections work.
  • AutoLockbox, your AutoCash rule sets, Advanced Collections and posting stay in Oracle, and a person approves every posting.
  • Transformance connects to Oracle E-Business Suite through its integrations hub; the connection typically takes 2-3 days, and your IT team may be involved.
  • Agents work with the E-Business Suite release you run, alone or next to Fusion Cloud ERP.

How can AI agents help Oracle E-Business Suite teams with AR?

Oracle E-Business Suite already imports lockbox files, applies receipts by rule and queues work for collectors; Transformance’s AI agents take on work around it, and a person signs off postings.

E-Business Suite terms as Oracle documents them (Receivables User Guide and Advanced Collections User Guide, Release 12.2).

On support, Oracle states: “We will continue offering Oracle Premier Support on the Continuous Innovation releases for on-premises applications through at least 2037” (Oracle, E-Business Suite Support, 2026). The rules and queues you have tuned stay the base to build on.

On the Transformance side, ClearMatch completes a run end to end in under 8 minutes and validates 100% of postings; nothing posts without human sign-off (Transformance customer data).

This page covers the AR work; how Transformance connects to Oracle Fusion and EBS covers routes, what is read and written, corrections and setup. Transformance connects to Oracle E-Business Suite through its integrations hub; which ERP systems Transformance integrates with lists the others.

Takeaway: Oracle keeps its rules, queues and posting; agents read, propose and prepare, and a person signs off.

What does Oracle E-Business Suite already do in accounts receivable?

Receivables imports lockbox files, applies receipts by rule, prints statements and calculates late charges, and Advanced Collections gives collectors one main screen for promises, payments, adjustments and disputes.

Receipts. In Receivables, AutoLockbox “is a three step process” (Oracle, Receivables User Guide, Receipts, Release 12.2):

  1. Import. AutoLockbox “reads and formats the data from your bank file”, using the transmission format you specify.
  2. Validation. A program “checks data in the AutoLockbox tables for compatibility with Receivables”.
  3. Post QuickCash. If the bank file gives no transaction number and AutoAssociate is set to Yes, the matching rules apply the receipt; “If the matching rules fail, then Post QuickCash applies the receipt using the AutoCash rule set defined at the customer site, customer, or system options level”, and “If the AutoCash rules also fail to apply the receipt, Lockbox assigns the receipt a status of Unapplied.”

A receipt with no identifiable customer is unidentified: “you must specify the customer who remitted the receipt before you can apply it to a transaction.”

‍

‍

AR collections. Collections work runs in Advanced Collections, where users “work primarily within one main screen to easily review accounts, take promises, and process payments, adjustments, and disputes, all while recording the interaction with the customer” (Oracle, Receivables User Guide, Collections, Release 12.2). Oracle’s Advanced Collections User Guide (Release 12.2, 2024) adds the working detail:

  • The Collector’s Work Queue “displays actionable work items for a collector”, at customer, account, bill-to or delinquency level.
  • Dunning plans send dunning letters and track payments, with optional callbacks; they “are generally run to coincide with corporate billing cycles”.
  • A dispute “is sent to Oracle Receivables through the Credit Memo Workflow for review and resolution”.

Statements and late charges. Statements go out per statement cycle, and late charges can be calculated “against past due debit items for each customer, account, or site”, with a draft run to preview them first.

Integration building blocks. Oracle’s Integrated SOA Gateway exposes Integration Repository interfaces as web services: “PL/SQL APIs, Concurrent Programs, and Business Service Objects can be exposed as both SOAP and REST services”, open interface tables and views as REST; an Integration Administrator manages them (Oracle, Integrated SOA Gateway Implementation Guide, Release 12.2).

The agents below build on this process. For order-to-cash across several ERPs, see the enterprise ERP order-to-cash playbook.

Takeaway: E-Business Suite documents a chain from lockbox file to dunning plan; agents start where a person is expected to look.

Where does an AR team’s day go on Oracle E-Business Suite?

On any ERP, the manual time sits in five queues: unapplied receipts, remittances outside the bank file, short payments and disputes, promises to follow up, and overdue accounts to call.

  1. Unapplied and unidentified receipts after the lockbox run. The cash application specialist needs the remittance, the open items and, if unidentified, who paid.
  2. Remittances in email and PDF. The remittance advice often arrives in a mailbox, not in the bank file (how AI reads remittance advice).
  3. Short payments and disputes. A customer “might include short payments (deductions) or over payments due to promotional deals, short shipments, damages, and so on”. Where the remittance advice gives no supporting details, “additional research may be required to determine if the discrepancies between the billed amount and the paid amount are warranted” (Oracle, Receivables User Guide, Release 12.2).
  4. Promises to pay due for follow-up. The collector checks which promises were kept; broken promises to pay are items on the Collector’s Work Queue.
  5. Overdue accounts to call. The collector needs the account history, open disputes and the last contact.

Oracle’s process plans a person here, and that is where agents give the person a head start: a proposed match or a prepared call, with evidence (rule-based vs AI cash application).

Takeaway: five queues hold the manual time, and each one starts faster with the evidence already gathered.

What do AI agents take on in cash application and AR collections?

Agents take the reading, matching, follow-up and evidence work off the queues: DocSense reads, ClearMatch matches, Vero investigates, CollectPulse handles AR collections and CashPulse forecasts; people approve postings.

Unapplied receipts. ClearMatch proposes a match, with the evidence, for receipts your AutoCash rules leave open. Vero, the agent, works on Customer 360 (one graph per customer, its working memory). For an unapplied or unidentified receipt it investigates from there, fetches internal and external information to find more matches and proposes the customer and invoices with the evidence, for a person to approve (matching a payment with no reference).

Remittances. DocSense is built on vision language models and reads remittances with over 97% extraction accuracy across 100+ document types and 170+ languages; it needs zero template configuration.

Short payments and disputes. ClaimIQ classifies each deduction into one of six categories, and Vero proposes the next step with the evidence. Resolution stays with your AR team, and disputes follow Oracle’s review path (what deductions management is).

Promises and overdue accounts. CollectPulse actions 100% of overdue invoices within 24 hours (Transformance customer data). Its AI calling agents speak 70+ languages and identify themselves as AI at the start of every call. Collectors keep their Work Queue and Collections window; your collections lead signs off cadence and wording for each dunning step, and nothing reaches a customer unapproved (how AI automates AR collections).

How the connection is built. Both the onboarding hub and the integrations hub follow one standardized integration process (discover, map, build, test, schedule, monitor). AI agents that run its steps are planned; a person approves every change that reaches a customer system or production (the agent-run integration platform).

Takeaway: agents prepare the work; your team approves whatever changes the ledger or reaches a customer.

How does data flow between Oracle E-Business Suite and Transformance?

Transformance reads open items, invoices, customer master data, bank statements and remittances, proposes matches, and writes back clearing postings, journal entries and updates only after a person approves.

Routes follow your environment: API (for example web services your Oracle team exposes through Integrated SOA Gateway), files, database, mailbox, or an on-premise agent that connects outbound only. The route is agreed with your Oracle team (the read and write map).

Oracle supports E-Business Suite “both on-premises and in Oracle Cloud” (Oracle, E-Business Suite Support, 2026). On-premise setups are covered in AR automation on an on-premise ERP and the IT effort of a rollout; for custom extensions, a feasibility check on sample records confirms the route (custom ERP systems).

Operating units and corrections. Scope is set per operating unit in onboarding. A wrong application is corrected the way Oracle defines it, with a person’s approval (detail in the connection guide linked above).

Approvals and audit. A 4-level approval model (read, recommend, execute, post) keeps a human in the loop for ERP postings, with thresholds by amount, entity and customer. Admins set the rules and finance users do the approving (approvals and thresholds for AI agents in the ERP). Each audit trail entry holds the timestamp, what the system did, what the user did, who approved, the input and the confidence (what the audit trail records).

Data. Data is hosted in your region, and no customer data trains models (safe ERP data access).

Takeaway: the route is chosen with your Oracle team, scoped per operating unit, and every posting waits for a person.

Does it work with the release we run, and next to Fusion Cloud ERP?

Yes: agents work with the Oracle E-Business Suite release you run, and the same approach applies where Fusion Cloud ERP runs alongside it.

Sample records from your Receivables data go through a feasibility check before any build. Where a group runs E-Business Suite next to Fusion Cloud ERP or another ERP, each connection is set up on its own. JD Edwards teams have their own guide: AI agents for JD Edwards accounts receivable.

Takeaway: your current release is the starting point, and sample records settle the route.

How does onboarding work for an Oracle E-Business Suite connection?

The connection typically takes 2-3 days, and your IT team may be involved; the full rollout takes up to 4-8 weeks.

The proof of value runs 4-5 weeks on one entity, for example one operating unit. The onboarding hub runs four phases:

  1. Prepare. A shared project shows whose turn it is; prefilled questionnaires cover your operating units, banks, lockboxes and mailboxes; uploaded files are checked.
  2. Connect. Guided ERP, bank and mailbox setup with your IT team in the loop; credentials go into secure slots, never into email.
  3. Test. Scenarios on your own transactions in staging, then a parallel run.
  4. Go live. Readiness gates and an acceptance report before sign-off, then hypercare with tickets and KPIs from day one and the handover.

Nothing reaches you or production without a person’s approval. Detail: onboarding and go-live and AR automation implementation time.

Takeaway: one operating unit first, tested on your own receipts, live after your sign-off.

Which companies run Oracle E-Business Suite, and what does it look like in practice?

Oracle groups E-Business Suite products under order management, logistics, procurement, projects, manufacturing, asset lifecycle management and financials; in a manufacturer with 5,000 payments a month, agents prepare each for review.

Source: Oracle, E-Business Suite Applications, 2026.

Worked example (illustrative; all numbers are assumptions). A manufacturer receives 5,000 customer payments a month. Assuming ClearMatch’s 95% auto-match rate, about 250 payments a month reach a person, each with the evidence attached. One of them is a lockbox receipt of USD 64,380.00 from a distributor:

  1. The lockbox run identifies the customer, but no rule applies the amount, so the receipt stays Unapplied.
  2. DocSense reads the remittance PDF the customer emailed to the AR mailbox: six invoices of USD 14,200.00, 9,875.50, 11,340.00, 8,612.25, 7,950.00 and 12,402.25.
  3. ClearMatch proposes the application across the six invoices, which equal the receipt, with the PDF as evidence.
  4. The cash application specialist approves, and Oracle Receivables records the application.

Takeaway: the specialist spends time on the payments that need judgement, with the evidence ready.
